1. GENERAL

These Terms & Conditions regulate your use of the Hotnation website and services, including the booking and attendance of classes at our studio in Eindhoven or any other future locations. By accessing our website or purchasing or using any of our services, you agree to be bound by these Terms & Conditions.

Hotnation reserves the right to amend or update these Terms & Conditions from time to time. Continued use of our services following such changes constitutes acceptance of the revised Terms & Conditions.


2. SERVICES & BOOKINGS

Hotnation provides hot pilates/pilates-inspired classes that can be booked via our website and online booking platform.

All bookings and payments are processed through our third-party booking software, bsport. By using the booking platform, you may also be subject to bsport's applicable terms and conditions.

Class availability is subject to change and is not guaranteed.


3. AGE REQUIREMENT & PARTICIPATION

Participants must be at least 18 years old to participate in any Hotnation class.

Hotnation reserves the right to refuse participation or studio access if a participant does not meet the minimum age requirement.


4. PRICING, PAYMENTS & CREDIT VALIDITY

All prices are stated in euros (€) and include applicable taxes.

We offer, among others, the following options:
⁌ Intro offer: 1+1 Class for free
⁌ Class packs with limited validity
⁌ Monthly memberships

Credit validity:
⁌ 1 Class Pack: valid for 1 month
⁌ 3 Class Pack: valid for 2 months
⁌ 5 Class Pack: valid for 3 months
⁌ 10 Class Pack: valid for 6 months

Credits must be used within their applicable validity period.

The validity period applies to the date on which the class takes place, not merely to the date on which the booking is made. A credit can therefore only be used to book a class that takes place within the credit's validity period.

For example, if a credit is valid from January 1 through January 31, it cannot be used on January 28 to book a class taking place on February 2.

Expired credits are automatically forfeited and cannot be extended, refunded, transferred, or reactivated, unless required by applicable law.


5. PRICING, PROMOTIONS & SYSTEM ERRORS

Promotions cannot be combined unless clearly stated otherwise.

Hotnation reserves the right to correct pricing, payment, credit, membership, or billing errors caused by technical or system issues.

Prices, credits, memberships, discounts, or other benefits resulting from an obvious technical error or system glitch will not be honored where Hotnation is legally entitled to correct such error.


6. MEMBERSHIPS & RENEWAL

Memberships are billed on a recurring monthly basis and automatically renew unless cancelled.

Cancellation Terms
Memberships have no minimum commitment period and may be cancelled at any time.

When a membership is cancelled, the membership will remain active until the end of the current billing period, after which it will automatically end. No refunds will be issued for any unused portion of the current billing period, unless required by applicable law.

To cancel, log in to your personal account via www.hotnation.nl and cancel the membership or disable the auto-renewal option.

Hotnation reserves the right to adjust membership pricing, provided reasonable prior notice is given.


7. CLASS CANCELLATION & NO-SHOW POLICY

Class cancellations are free of charge up to 12 hours before the class.

Class cancellations made within 12 hours of the class starting time will result in forfeiture of the applicable class credit.

No-shows will also result in forfeiture of the applicable class credit.

8. STUDIO ACCESS & LATE ARRIVAL

Clients are advised to arrive 10–15 minutes before class starts.

For safety and to ensure the proper flow of the class:
⁌ Entry will not be permitted after the class has started.
⁌ Late arrival may result in loss of the applicable class credit.


9. PERSONAL USE OF MEMBERSHIPS, CREDITS & PASSES

All memberships, credits, passes, and other class-related purchases are:
⁌ Personal to the purchaser or designated user.
⁌ Non-transferable.
⁌ Non-refundable, except where required by applicable law.

Account sharing or the unauthorized transfer or sharing of credits, memberships, or passes is strictly prohibited.


10. RETAIL PRODUCTS

Physical products purchased from Hotnation, including but not limited to towels and bottles, are non-returnable and non-refundable, except where otherwise required by applicable law.


11. HEALTH & PHYSICAL CONDITION

By participating in classes, you confirm that:
⁌ You are physically fit and able to take part.
⁌ You understand that the classes involve physical exercise in a heated environment and that this may place additional demands on the body.

Participation during pregnancy is not permitted due to the physical demands and heated conditions of the classes.

Participants are responsible for listening to their bodies, taking breaks when needed, maintaining adequate hydration, and stopping exercise if they feel unwell.

Hotnation shall not be liable for injuries sustained during participation, except where liability cannot be excluded or limited under applicable law.


12. WOMEN-ONLY STUDIO & EMERGENCY ACCESS

Hotnation operates as a women-only studio.

However, there may be exceptional circumstances in which a man needs to enter the studio. This may include, for example, emergency situations requiring access by paramedics, firefighters, police officers, or other emergency or essential personnel.

By attending Hotnation, clients acknowledge that such exceptional access may occur where reasonably necessary for safety, emergency response, maintenance, or other essential purposes.


13. STUDIO RULES, HYGIENE & CONDUCT

To ensure a safe, hygienic, and respectful environment:
⁌ A suitable mat cover towel is mandatory during class for hygiene and grip.
⁌ Shower towels may not be used as mat cover towels.
⁌ Shoes and jackets must be stored in the designated area.
⁌ Mobile phones must be kept on silent during class.
⁌ All participants must respect the space, privacy, staff, instructors, and other clients.

Hotnation reserves the right to refuse entry or remove any participant who does not comply with studio rules.

Hotnation further reserves the right to refuse service, suspend access, or terminate memberships in cases of misconduct, abusive or inappropriate behaviour, or repeated violations of these Terms & Conditions.


14. LOST & FOUND

Items left behind at the studio will be kept in Hotnation's lost & found for a maximum period of 2 weeks.

After this period, unclaimed items may be disposed of, donated, or otherwise removed at Hotnation's discretion.

Hotnation is not responsible for the loss, theft, damage, or disposal of personal belongings left at the studio.


15. SCHEDULE CHANGES & CANCELLATIONS

Hotnation reserves the right to modify class schedules, instructors, class formats, or services where reasonably necessary.

Where possible, clients will be informed of significant changes in advance.

Hotnation shall not be liable for cancellations, schedule changes, or disruptions caused by circumstances beyond its reasonable control, including but not limited to instructor illness, technical failures, utility failures, emergencies, or force majeure.


16. MEDIA RIGHTS & FILMING POLICY

Participants may take photos or videos for personal use, provided this does not disrupt classes or disturb other clients.

To protect the comfort and privacy of everyone in the studio, you may not photograph or film another client without their consent.

During classes, personal filming is only permitted from the back row. Participants filming themselves are responsible for positioning their device and framing their content in a way that avoids capturing other clients unless those clients have clearly consented.

Hotnation takes reasonable measures to promote and enforce this policy. However, due to the nature of a shared studio environment, Hotnation cannot guarantee that a participant will never appear accidentally or incidentally in another person's photo or video. Participants are required to respect the privacy of others and to comply with instructions from Hotnation staff regarding filming.

Hotnation may occasionally host designated content classes where photo and video recording is allowed for marketing and social media purposes. These classes will be clearly marked in the schedule with “RECORDING ALLOWED” in the class title before booking.

By reserving and attending a class marked “RECORDING ALLOWED”, you acknowledge that photo and video recording may take place during that session and that you may appear in such recordings.
If you prefer not to appear in recorded content, please do not book classes marked “RECORDING ALLOWED”.

17. LIABILITY & PERSONAL BELONGINGS

Participation in all classes is at your own risk.

To the extent permitted by applicable law, Hotnation is not liable for:
⁌ Personal injury arising from participation in classes.
⁌ Loss, theft, or damage of personal belongings brought into or left at the studio.

Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation is not permitted under applicable law.


18. GOVERNING LAW

These Terms & Conditions are governed by the laws of the Netherlands.

Any disputes arising in connection with these Terms & Conditions shall be submitted to the competent court in the Netherlands, subject to any mandatory rules regarding jurisdiction and consumer rights.
